JOB DESCRIPTION

Job Title: Administrative Assistant (Paid volunteer )
Institution: Natubelenge Children’s Library
Department: Administration

The administrative assistant /Grant writer at Natubelenge children’s Library will play a pivotal role in supporting administrative functions while taking the lead in researching, writing, and managing grant proposals. The role demands strong organizational skills, attention to detail, and a passion for contributing to the mission of the library.

KEY RESPONSIBILITIES
• Provides administrative support to ensure efficient office operations.
• Take the lead in researching potential grant opportunities aligned with the organisation’s mission and programs.
• Maintains physical and digital filing systems.
• Answers phone calls and directs callers to appropriate personnel, schedule appointments, signs for incoming packages, and assists clients and other visitors.
• Responds to emails and other digital queries and correspondence.
• Manages calendars for senior staff.
• Drafts and edits letters, reports, and other documents.
• Inputs and updates information in the databases and spreadsheets.
• Prepares meeting agendas and takes meeting minutes.
• Coordinates logistics for meetings.
• Uses word processing and presentation software to create and edit documents.
• Ensures that office supplies are always on hand.
• Researches as requested and compiles and summarizes information for reports or presentations.
• Works closely with other staff and supports colleagues as needed.
• Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
• Ensures that deadlines are met and adapts to changing priorities.
• Presents a positive and professional image for the organization.

QUALIFICATIONS
• Strong writing and editing skills, with the ability to craft persuasive and well-researched grant proposals.
• Excellent organizational and time management skills.
• Knowledge of fundraising principles, strategies, and ethical practices.
• Proficient in MS Office (Word, Excel and PowerPoint) and grant management software.
• Ability to work collaboratively and communicate with diverse stake holders.

Education
• Diploma or a Bachelor’s degree in a relevant field.
• Certifications in M&E, grant writing or fundraising will be an added advantage.

Working Conditions

This position is a paid volunteer job, as such a monthly stipend will be paid.

Package includes monthly NAPSA and NHIMA contributions.
