ADMINISTRATIVE ASSISTANT (x1)
Location: Monze Main Campus
Qualifications and Experience:
Grade 12 certificate.
Secretarial certificate or diploma and other relevant trainings.
At least two years’ work experience.
Expectations
:
Makes a significant contribution to all activities of the organizational unit or interdisciplinary area and plays a significant role within his/her profession or discipline.
Responsibilities
:
1. Serve as front desk responsible for screening all visitors to the assigned office.
2. Manage all incoming and outgoing mail for the assigned office.
3. Set up and maintain good filing systems.
4. Manage the weekly, monthly and quarterly diary as well as the travel itinerary for the assigned office.
5. Perform administrative and clerical procedures of the assigned office including drafting and typing letters, memos and reports.
6. Data and records maintenance in the assigned offices.
7. Organize and manage all aspects of meetings for the assigned office including minute taking, editing, distributing and filing.
8. Ensure cleanliness of the assigned office work space and office furniture/equipment.
9. Uphold integrity, confidentiality, correctness and safety of all records and information in the assigned office.
10. Actively follow and promote RU mission, vision, values, policies, including Equal Opportunities.
Essential Knowledge, Skills and Competences
1. Strong administrative and organizational Skills.
2. Ability to multi-task and prioritize tasks.
3. Excellent interpersonal, oral and written communication skills.
4. Computer skills in word, excel, power point etc.
5. Good customer relations.
6. Good office management.
7. Good record keeping.
8. Ability to work independently and collaboratively.
