ASSISTANT HUMAN RESOURCE OFFICER X 1- G 6 (PERMANENT AND PENSIONABLE)
REPORTS TO: HUMAN RESOURCE OFFICER
JOB PURPOSE
To provide operational support to the Division and perform generalist and clerical duties.
Duties and Responsibilities
i. To provide administrative support to all business units in Human Resource Division.
ii. To develop a systematic method of organizing, storing, and retrieving human resource documents and records for easier access and archiving.
iii. To prepare and submit monthly reports for Human Resource activities and petty cash.
iv. To participate in wellness activities and encourage other employees to engage in wellness activities.
v. To monitor employees on prolonged sick leave and update management on the same for appropriate action.
vi. To monitor, coordinate and ensure office furniture is accounted for and replenished in accordance with Company standards and procedures.
vii. To liaise with Assets department for tagging and disposing of old furniture.
viii. To input and update employee information in HR databases and HR systems (Sage).
ix. To ensure all employee records and correspondence are maintained in compliance with company policies, legal requirements, and data protection regulations.
x. To manage the Petty Cash for human Resource department in accordance with Company Financial regulations.
xi. To safeguard sensitive employee information and maintain confidentiality at all times.
xii. To assist employee’s access to facilities such as medical, funeral and other related ones.
xiii. To monitor and ensure all office surroundings are maintained well by the Service providers for cleaning, bin emptying and land maintenance.
xiv. To report any repairs, fittings, electrical, plumbing, requirements to the relevant departments for immediate action identified during inspections that promote a conducive work environment.

Qualifications and Experience
i. Full Grade Twelve Certificate with five credits or better (Including English) certified/ endorsed by ZAQA.
ii. Diploma in Human Resource, Public Administration, Business Administration, Records Management, or related field. Degree will be an added advantage.
iii. Member of ZIHRM
iv. Two (2) years’ experience in a similar role.
