Job Purpose
The Responsibilities of this role will include but not limited to the following:

Ensure 100% adherence to procurement procedures in the conduct of the tender routine and must maintain a proper record of transactions where there has been departure from that.

Ensure requests for quotations/proposals have sufficient information before they are sent out to the market i.e. scopes, Bill of Quantities and any other documentation that is relevant to the tender.

Analyse and evaluate tender submissions before they are fully approved and ensure that the Company’s supply standard procedure is adhered to in all procurements.

Ensure Zero price mismatch of all purchase and service requisitions.

Run daily reports on outstanding requisitions.

Expediting of requisitions and order delivery.
-
Ensure records are kept of all requisitions being sent out to the market and proper filling of contracts entered into with vendors.

To act as a confidential link between the End Users and contractors when it comes to coordinating all correspondence between the two parties i.e. Negotiate contract terms, conditions and pricing with local and international contractors and follow up to ensure execution according to the negotiated terms.

Prepare contract documents for approval and oversee their execution.

Ensure signed contracts are loaded onto the contracts module.

Manage the administration of contracts for the Mine in liaison with End Users and Contractors to ensure that contracts are executed to the company’s commercial benefit and in accordance with Company policy.

Monitor the expiry of the contracts and laisse with End User on possible renewals.

Monitor and draft any changes and/or variations to contracts to ensure that contract documents are always up to date.

Prepare legal letters of poor performance, termination, etc. for issuance to contractors as and when required.
To be considered for this position, the candidate should meet the following minimum requirements:

Grade 12 Certificate.

A Degree in Procurement and Supply Chain Management or its Equivalent.

Minimum Two (2) years’ work experience in a similar position, preferably in a busy environment such as that of the Mines.

Exposure to projects in addition to prior technical and/or legal experience.

A Certified member of the Zambia Institute of Purchasing and Supply (ZIPS).

Proficiency in the use of the Microsoft Package.

Able to work with minimum supervision.

Ability to multitask, prioritize, and manage time efficiently.

Excellent organisational, communication and interpersonal skills.

Sound knowledge of contract law and legal issues involved with contracts.
The successful candidate must be result oriented and have the ability to work with own initiative, ability to understand scope of work, paying particular attention to Company policies and Corporate objectives.
