Tyre-King, a leading automobile tyre retailer, is looking for a proactive and organized Corporate Assistant to manage front-office functions and provide administrative support to our Executive Team.
Position
: Corporate Assistant – Full Time
Purpose of the Job:
To coordinate front-office operations and support executive-level tasks at Head Office, including diary management, procurement follow-ups, tracking staff attendance, maintaining utility records, and supporting various corporate and administrative initiatives.
Key Responsibilities:
Reception & Front Office Management
-
Maintain a clean, organized, and professional reception area.

Handle incoming calls and walk-in clients courteously; route inquiries promptly.

Facilitate outgoing calls and monitor switchboard efficiency.
Executive Support
-
Manage Directors’ diaries, appointments, and incoming communications.
-
Screen visitors and calls to ensure efficiency in executive accessibility.
Staff Attendance & Leave Tracking
-
Monitor biometric reports and maintain accurate attendance and leave records.

Process leave applications and report irregularities.
Procurement & Stationery Control
-
Facilitate procurement of stationery, consumables, and toners.
-
Maintain accurate inventory records and ensure timely reorders.

Monitor usage trends and provide cost/consumption reports.
Insurance Coordination
-
Process insurance covers.
-
Maintain container and declaration records.
-
Liaise with brokers on claims and credit notes.
Facility & Utility Management
-
Ensure office cleanliness through supervision of office assistants.

Track and process utility bills for all locations.
-
Monitor consumption and recommend cost-saving measures.
Courier & Document Dispatch
-
Ensure timely pickup and delivery of mail, documents, and parcels.
CSR & Internal Promotions
-
Support Sales & Marketing with internal promotion logistics and CSR activities.

Maintain centralized records on price lists, promotions, and gift vouchers.
Travel & Meeting Coordination
-
Book flights, accommodation, and venues for meetings or conferences.

Ensure timely communication and transport arrangements for executive travel.
General Administration
-
Perform delegated tasks such as filing, data entry, or special projects as required.
Qualifications & Experience:
-
Grade 12 certificate.

Minimum Certificate in Business Management or related field.

At least 2 years’ experience in a fast-paced administrative or front-office role.

Strong computer literacy (Microsoft Office).

Ability to multitask, prioritize effectively, and remain composed under pressure.
