3Eighteen Zambia is a faith-based organization with the aim of bringing empowerment and lasting hope to the vulnerable. 3Eighteen Zambia is contributing to the improvement of livelihoods of the vulnerable in the community through OVC Education support, Hub technology, Entrepreneurship through non-interest microloans and animal empowerment programs, and bringing the masses to the Lord through discipleship activities. 3Eighteen Zambia is implementing its programs in 5 districts in the republic of Zambia namely; Kabwe, Chibombo and Kapiri Mposhi of the central province, Kafue and Chongwe of Lusaka Province, and Ndola and Mpongwe of the Copperbelt province. 3Eighteen Zambia is currently seeking applications from suitably qualified and experienced individuals to take up the position of Education facilitator.
Position: Education Facilitator/Administration Facilitator
Position Description
The incumbent has the responsibility to coordinate and facilitate education and library support services, animal empowerment support, finance and administration in “Bringing empowerment and lasting hope to the vulnerable.” She/he will lead the project in planning, implementation, monitoring and reporting of all education-oriented activities including monitoring. She/he shall be responsible for the timely delivery of all education interventions and financial deliverables with the highest technical quality according to the objectives of the project and to the satisfaction of the 3Eighteen Zambia management and donor expectations. The position reports to the Education and Discipleship Coordinator while working closely with the Project Partnership Committee in most particular the Education advisor.
Main Role
To effectively manage OVC education program inclusive of library services, livestock empowerment, school grants, computer and enterprise skills training, discipleship support and monitoring in “Bringing empowerment and lasting hope to the vulnerable.
Key areas of responsibility under Education and Administration
Child Sponsorship Support

Facilitate the purchase of OVC requisites for all sponsored children at the project.

Ensure selected OVC have a written approval recommendation from their churches by the minister in charge.

Facilitate interviews of OVC and guardians on enrollment with participation of the Project Partnership Committee.
-
Facilitate signing of OVC education agreement forms with guardians.
-
Facilitate collection of sponsored school reports
-
Facilitate collection of paid-up tuition receipts for OVC in all school upon payments of boarding fees.

Prepare and share individual reports for consolidation into the monthly project report
Library Support Services
-
Facilitate preparation of computer lab and ensure it is maintained regularly.
-
Engage sponsored children for maximum utilization of the computer lab and supervise computer skills trainings.
-
Prepare and share computer skills training outcome for consolidation in the project monthly reports.
-
Facilitate collection of computer syllabus from government schools for use at the project.

Prepare and share library support services for consolidation into the monthly education report
Life Skills Support Services
-
Facilitate preparation of library service room and ensure it is maintained regularly.
-
Coordinate and facilitate special programs like careers insight, holiday school clubs and entrepreneurship skills.

Prepare and share special reports for every activity implemented and share with the supervisor.
Livestock Empowerment
-
Ensure healthy collaboration with government departs like Vertinary under the Ministry of Agriculture.

Conduct assessment of beneficiaries for livestock empowerment with support from the team and PPC
-
Conduct training of beneficiaries of livestock empowerment programs with support from vertinary department within the district.
-
Conduct monitoring of animal empowerment activities with support from the PPC and vertinary department every fortnight.
-
Prepare animal empowerment report for consolidation into monthly education report.
School Grant Management
-
Ensure healthy collaboration with the ministry of education at district level and school management in each zone.
-
Conduct assessment of school beneficiaries for school grant support in collaboration with PPC
-
Conduct training of school management and OVC in entrepreneurship and grant management with support from the team and DEBS within the district.
-
Prepare school grant empowerment report for consolidation into monthly education report.
Finance and Administration
-
Maintain files for staff administrative documents like leave, medical reports, advances, loans and trainings.
-
Maintain files finance committee meetings and other planning meetings.
-
Manage project resources efficiently and effectively in accordance with 3Eighteen Zambia policies and guidelines.
-
Record all financial transactions, maintain financial records, fact check financial data and update annual financial statements.
-
Ensure accounts are accurate, using spreadsheets and any other tools to track and manage data.
-
Track all income and expenditures for 3Eighteen Zambia at the Project and notifying senior staff of the accounting errors.
-
Maintain payment vouchers, cash payment forms and filing receipts under minimal supervision from the National accountant.

Prepare and submit monthly, quarterly and annual financial report to the national office accountant.
Partnership and Collaboration
-
Build strong relationships with the Project Partnership Committee, church or CBO/FBO, government departments and other external partners and ensure their involvement throughout the program.
-
Participate in activities for both at district level and community for collaboration such as; national and international events (World Aids Day, Youth Day, Women’s Day etc.)
-
Facilitate identification of different schools in the different zones for possible partnerships.
-
Facilitate identification of teacher focal point persons in schools for easy communication and monitoring.
-
Sensitize parents and guardians the roles of the 3Eighteen Zambia with emphasis on the organization not taking over their parental responsibility but partnering in supporting their children in schools.

Prepare partnership and collaboration report for consolidation into the project monthly reports
-
Share consolidated project quarterly report with the Project Management Committee.

Facilitate selection and appointment of PPC members from different churches in each zone
-
Attend quarterly PPC meetings and document minutes of the meeting for submission to the Regional Coordinator.

Facilitate formation of voluntary Zonal committees
Monitoring of programs
-
Conduct monitoring and mentoring of the OVC in schools at least once in a month and submit a report with pictures immediately.
-
Conduct of monitoring of livestock in communities once a month and submit a report with pictures immediately.
-
Visit all children and engage parents in their homes at least once a quarter and include such visitation in monthly reports supported by pictures.

Participating in the project research, assessments or evaluations undertaken and sharing lessons learned and best practices for scaling up of the project.

Conduct monitoring of school grant support with support of PPC at least twice once a month.

Document lessons learnt for replication in future programming
Operations, Program Planning and Implementation and Reporting
-
Prepare, manage and update E&D tracker termly
-
Participate in zoning of the project for coordinated management, participation, implementation and monitoring of activities
-
Facilitate purchasing and maintenance of office furniture and equipment.
-
Support micro-loan facilitator during microlam group training by ensuring good documentation of quality report.
-
Consolidate monthly education report covering education requisites, library services, any life skills training, animal empowerment, outcome from monitoring children and submit to the education and Discipleship Coordinator.

Prepare and share monthly interest, success or impact story.
-
Compile consolidated Financial Report and submit direct to the Accounting Officer at national office.

File every submitted monthly reports in the program file and project monthly report file
-
Any other duties assigned by the national director or supervisor.

Desired Qualifications

Full grade 12, Minimum of a Diploma or equivalent
Desirables
-
Business Administration, Entrepreneurship, Social Work, Development Studies.

Experience working with NGOs, Christian-based organisation, micro-finance or accounting enterprises.
-
A Motorbike licence will be an added advantage.
