The Mulungushi International Conference Centre Limited (MICCL) a member of the Industrial Development Corporation (IDC) group of companies invites applications from suitably qualified and experienced applicants for the following positions.
JOB TITLE: EVENTS OFFICER (1)
Reports to the Operations Manager
JOB PURPOSE
Plays a key role in the planning, coordinating, and executing events at the International Conference Centre.
This position focuses on ensuring seamless event operations and delivering exceptional experiences for clients and guests through meticulous organization and communication.
KEY RESPONSIBILITIES

Collaborates with clients to understand their event objectives and requirements.

Coordinates with internal departments (e.g., catering. audiovisual, facilities) to align resources and services with event needs.

Coordinates the Contractors to provide services for the grounds, laundry, cleaning of rooms, waste management. etc.

Make sure that the rooms are ready for conferences

Serves as clients’ primary point of contact during the planning and execution phases.

Oversees event setup and breakdown, ensuring all elements are executed to specifications.

Manages onsite event operations, addressing any issues promptly to ensure client satisfaction.

Maintains clear and consistent communication with clients. vendors, and internal teams.

Facilitates pre-event meetings to finalize details and align expectations with all stakeholders.

Liaises with external suppliers for services, such as décor, housekeeping, entertainment, etc.

Ensures suppliers meet quality and service standards as per agreements.

Ensures guests receive exceptional service throughout the event.

Addresses any guest inquiries or concerns professionally and efficiently.

Conducts post-event debriefs with clients and internal teams to gather feedback.

Analyses event data to identify areas for improvement and implements changes as necessary.

Oversees the operations of food and beverage services during events.

Coordinates with catering teams to ensure timely and accurate service delivery.

Monitors food and beverage quality and presentation to maintain high standards.

Maintains levels of quality, cleanliness, food safety, and hygiene in line with company policies and regulations

Embraces and grows a ‘zero accidents culture’ within the team by ensuring the accurate reporting of near misses and accidents as well as reporting any equipment defects to the line manager in line with company procedure

Ensures cash procedures are adhered to and strictly monitored, including preparation and calculation of beverage bills within all departments, and cashing up of tills as per MICCL cash handling policy

Takes responsibility for stock control, including ordering. acceptance, maintenance of stock levels and stock rotation, and report & return of any sub-standard items

Prepares the team rota each week and ensures sufficient levels of staff are scheduled to work in line with business needs taking into account staff requests

Carries out training as required ensuring that the team has the skills needed to excel

Attends weekly team meetings to maintain levels of communication across the team

Ensures that setting up of rooms is timeously and properly done

Performs other duties as assigned.
QUALIFICATIONS

Grade twelve School certificate with five (5) Credits or better including English and Mathematics
-
Diploma in Hospitality Management, Event Planning, or a related field
SKILLS AND COMPETENCIES

Proven food and beverage management experience

Working knowledge of various computer software programs (MS Office, restaurant management software, POS)

Ability to spot and resolve problems efficiently Mastery in delegating multiple tasks

Communication and leadership skills

Up to date with food and beverage trends and best practices

Ability to manage personnel and meet financial targets Guest-oriented and service-minded
EXPERIENCE
Not less than 3 years of experience in event planning and food and beverage management
