Key Responsibilities:
FACILITIES AND MAINTENANCE MANAGEMENT

Assist in budgeting for facility upkeep and propose cost-effective solutions for maintenance issues.

Monitor and manage utilities such as electricity, water, and sanitation services.
-
Ensure efficient use of resources and identify opportunities for cost savings in facility operations.

Perform routine inspections of facilities and building systems including HVAC, plumbing, electrical and safety equipment to determine the need for any repairs and maintenance,
-
Prepare, maintain and implement mechanical routine maintenance, repairs and new installation activities,
-
Develop and implement a preventative maintenance schedule to minimize downtime and extend the life of building assets,
-
Oversee all work assignments performed by technicians, vendors and contractors in performing building maintenance, landscaping, pest control and janitorial work.

Manage inventory of maintenance supplies and equipment, ensuring that necessary materials are available when needed.

Monitor and maintain building security systems, fire alarms and emergency evacuation procedures,
-
Assist in the planning and execution of facility improvements, renovations and refurbishments,
-
Maintain accurate records of maintenance activities, faults, repairs and service reports and prepare regular summaries for management.

Track facility-related expenditures and maintain records of repairs and maintenance work.
FAULT MANAGEMENT AND RESOLUTION
-
Identify, monitor and report faults across the facility including HVAC systems, electrical infrastructure, plumbing and other mechanical components,
-
Respond promptly to day-to-day maintenance requests from staff including system failures, breakdowns, facility requests, basic handyman repairs, basic facilities troubleshooting and coordinate with external contractors for specialized maintenance works tasks ensuring minimal disruption to operations.

Track all maintenance reports and ensure timely resolution and regular updates to staff reporting on resolution status.

Develop and execute preventative maintenance schedules to minimize the occurrence of faults and extend the lifespan of equipment.

Coordinate and supervise all maintenance tasks.
OCCUPATIONAL HEALTH AND SAFETY

Ensure full Health and Safety induction for new staff,
-
Ensure compliance with safety regulations, local building codes and health and safety standards,
-
Support the management, communication, implementation and maintenance of Health and Safety procedures including annual risk assessments and ensuring emergency procedures are in place in consultation with the Security Manager in developing and updating evacuation and accident procedures.

Maintain health and safety records and ensure that all areas are free from hazards.
STRATEGIC SUPPORT

Support with the development, keeping updated of the Administration Department Policies and guidelines and ensure communication of the same across the organization, monitor implementation and compliance
-
Support compliance efforts with regards to Quality Standards in relation to Maintenance management, and general administration (facilities, rents, etc).
Team Coordination and Support:

Liaise with other departments, Area Programs and Project offices to ensure facilities are meeting organization needs.

Provide guidance and training to staff on facility usage, safety, and basic maintenance tasks.

Assist in event setup and logistics, ensuring facilities are ready for internal and external events.
VENDOR AND CONTRACTOR MANAGEMENT

Establish and maintain good working relationships with all service providers, suppliers and contractors.

Support the contract management for all facilities service providers and ensure they are cost effective and meet the organization’s standards.

Support the negotiations for facility services contracts and ensure they are cost effective and meet the organization’s standards.

Monitor contractor performance to ensure compliance with agreements.

Monitor all service providers’ performance to ensure compliance with agreements and adherence to Service Level Agreements (SLAs).
QUALIFICATIONS: EDUCATION/KNOWLEDGE/TECHNICAL SKILLS AND EXPERIENCE

Bachelor’s Degree in one or a combination of these fields (Operations, Facility Management, Project Management, Office Management).

Health, Safety and Security Training will be an added advantage.

Knowledge of local building codes, safety regulations, and compliance standards.

Knowledge of building systems (HVAC, plumbing, electrical) ability to read blueprints and schematics and familiarity with safety and building codes.
-
Experience in vendor management and contractor supervision.
-
Minimum 2 years of experience in facilities management or similar work environment.
-
Ability to work under pressure and also adhoc in emergency situations.
WORKING ENVIRONMENT / CONDITIONS:
-
The role will require availability for on-call duties to respond to emergency maintenance issues outside of regular working hours.

Work environment
: Office-based and visit to the field offices from time to time.

80% office based.
