JOB TITLE: FINANCE & ADMINISTRATION MANAGER
PURPOSE OF THE ROLE:
To manage the overall operations and resources of the Association in order to ensure that the vision and mission of ZMA is realized. In addition, the incumbent would be responsible for overseeing the financial operations of the organization, ensuring accurate financial reporting, compliance with regulations, and effective budget management. This role supports strategic decision-making by providing timely and insightful financial analysis.
KEY RESPONSIBILITIES (RESULT AREAS)
Assist to effectively manage the day-to-day operation of the secretariat including ensuring effective supervision is achieved
Communicates with the CEO, NEC, cooperating partners, staff, government in order to maintain trust in existing and new relationships.
Coordinates the development of annual operating plans and budgets.
Oversees the Association’s financial performance and investments.
Prepares payroll including timely submission of statutory requirements such as NAPSA, PAYE, and Workers Compensation.
Ensures all spending in ZMA is in line with the budget
Provides Variance Analysis notes of budget verses actual expenditure.
Manages the accounting and finance section.
Manages all accounting functions including general ledger, accounts payable, accounts receivable, fixed assets, bank reconciliation and cash management.
Ensures compliance with internal controls, policies and procedures; develop new internal controls, policies and procedures as needed.
Initiates annual budget under direction of the CEO; work with all other sections to compile, evaluate and balance the budget.
Generates all monthly financial process including financial statements to ensure that they are in conformity with accounting standards
Prepares quarterly financial summary and narrative analysis for the Association meetings.
Ensures that receipts for all cash, cheques and electronic payments received at the Secretariat are correctly issued.
Ensures that daily cash office reports and deposits slip for various banks are compiled;
Ensures filing of receipts, bank deposit slips together with respective daily revenue is done; and
Ensures smooth commencement and execution of external audit of ZMA accounts
SKILLS REQUIRED

Excellent communication, interpersonal and presentation skills
Ability to plan, balance and cope with competing priorities
Good written and verbal communication skills
Proficient computer skills
Interpretation of financial statements
Analytical and problem-solving
MINIMUM QUALIFICATIONS AND EXPERIENCE
Grade 12 Certificate
Bachelor’s degree in accountancy/administration, ACCA, CIMA or ZICA
Minimum 5 years’ related experience
Fully Paid-up member of ZICA & ZIHRM
