Job Summary:
The Finance and Administration Manager is responsible for the prudent financial management of the Association, aiming to enhance transparency and accountability in the utilization of resources. This role involves the development and implementation of finance strategies to ensure sustainable financing of the Association. The Finance and Administration Manager will manage strategic finance risks and oversee the administrative processes to ensure an effective support system for the Association’s activities.
Key Responsibilities:

Financial Management:
-
Develop and implement financial strategies that align with the Association’s goals and objectives.

Monitor cash flow, investment activities, and financial performance metrics to identify areas for improvement and optimize financial resources.

Ensure accurate and timely financial reporting, including preparation of financial statements, budgets, and forecasts.

Monitor and manage the Association’s financial performance, ensuring efficient use of resources and adherence to budgets.

Oversee the financial planning and analysis processes, providing insights and recommendations to the Executive Director and Board.

Ensure compliance with financial regulations, standards, and best practices.

Budgeting and Forecasting:
-
Lead the annual budgeting process, collaborating with department heads to develop comprehensive budgets.

Prepare and present financial forecasts to support strategic decision-making.
-
Monitor budget performance and implement corrective actions as necessary to ensure financial targets are met.

Internal Controls and Compliance:
-
Develop, implement, and maintain robust internal controls to safeguard the Association’s assets and ensure the accuracy of financial records.

Ensure compliance with financial regulations, standards, and best practices.

Conduct regular reviews to assess the effectiveness of internal controls and compliance with policies and procedures.

Risk Management:
-
Oversee implementation of enterprise risk management.
-
Identify, assess, and manage strategic finance risks, including currency fluctuations, investment risks, and financial controls.

Develop and implement risk mitigation strategies to safeguard the Association’s financial health.
-
Ensure the implementation of robust internal controls and audit processes to prevent fraud and financial mismanagement.

Audit Coordination:
-
Coordinate and manage the annual audit process, including preparing audit schedules and ensuring the timely provision of required documentation.

Act as the primary point of contact for external auditors and ensure effective communication and collaboration throughout the audit process.

Review and address audit findings and recommendations, implementing necessary changes to improve financial management practices.

Ensure compliance with all audit requirements and standards.

Revenue Mobilization:

Develop and execute strategies for revenue generation and diversification, including fundraising, grants, and partnerships.
-
Identify and pursue funding opportunities to support the Association’s programs and initiatives.
-
Build and maintain relationships with donors, partners, and stakeholders to secure financial support.

Administrative Oversight:
-
Oversee the administrative functions of the Association, including facilities management, procurement, and office services.
-
Ensure the effective operation of support systems and processes to enhance organizational efficiency.
-
Develop and implement administrative policies and procedures to support the Association’s operations.
-
Ensure effective management of the Association’s assets and liabilities.

Team Leadership and Development:
-
Lead, coach and mentor the finance and administration team, fostering a culture of accountability and continuous improvement.
-
Provide training and development opportunities to enhance team skills and capabilities across the teams at AAAG.
-
Conduct performance evaluations and provide feedback to team members.
-
Compliance and Reporting:
-
Ensure compliance with all financial and legal requirements, including tax regulations, labor laws, and reporting obligations.
-
Prepare and submit financial reports to the Executive Director, Board of Directors, and external stakeholders as required.

Coordinate external audits and implement audit recommendations to improve financial management practices.

Qualifications:
-
Minimum of ten (10) years of experience in financial management, preferably in a in a public sector environment, non-profit or association setting.

Bachelor’s degree in Finance, Accounting, Business Administration, or a related field. A Master’s degree will be an added advantage.

Professional accounting qualification (e.g., CPA, ACCA, CFA) is highly desirable.

Membership in good standing of a professional accountancy organization recognized by PAFA and IFAC.

Proven track record of developing and implementing successful financial strategies.
-
Strong understanding of financial regulations, standards, and best practices.

Excellent analytical, problem-solving, and decision-making skills.

Strong leadership and team management abilities.

Exceptional communication and interpersonal skills.

Proficiency in financial management software and Microsoft Office Suite.

Proficiency in implementation and application of an Enterprise Resource Planning solution.
Competencies:

Fluency in spoken and written English, language skills in French or Portuguese would be an advantage.

Working experience in an auditing firm is highly desirable
