Finance Assistant
Reporting to: Country Director and Finance Manager
Location: Livingstone
Main Duties & Responsibilities
Ensure accurate coding by staff in Zambia of all invoices ready for payment and posting to QuickBooks.
Ensure supporting documentation has been provided for all purchases and is clearly authorized by the appropriate budget line holder.
Ensure all retirements are made promptly.
Upload copies of all supporting documentation, giving references that can ensure the records are easily found in Quickbooks and on file as hard copies.
Support monitoring all cash transactions including weekly reconciliations and ensuring sufficient cash is held for day-to-day transactions.
Update Quickbooks for the Zambian bank accounts and reconcile monthly to the bank statements.
Set up payments with Indo Zambia Bank ready for authorization.
Manage the monthly payroll, issue payslips and deal with any ad hoc queries from staff.
Manage the preparation, paying and filing returns to ZRA, NAPSA, NHIMA, WCF & Care Coop.
Visit the bank, statutory bodies such as the ZRA and NAPSA, or suppliers when necessary to make payments which require physical presence.
Ensure all Finance records are kept securely on site.
Generate reports to support Programmes track income and expenditure and assist them with monthly forecasting when necessary.
Ensure digital copies of all relevant documentation is scanned and uploaded to Teams
Liaise with the Head of HR & Operations to secure information for Quickbooks monthly postings regarding fuel and vehicle usage.
Record and monitor any income generated within Zambia from the use of OCA assets, generating invoices when necessary.
Assist in developing the organizational budget and individual project budgets.
Basic Requirements
Bachelor’s degree in finance, Accounting, Business Administration or related field
3-5 years of relevant experience in finance, accounting and operations.
Sound knowledge of Quick books and any other complex accounting software.
Strong written and verbal English communication skills
Proficient in Microsoft Office, Including excel, Word and PowerPoint.
Attention to detail and deadline driven
Good personal skills
Preferred qualifications
Experience of coordinating with field officers
Experience in USAID projects/NGOs
