Job description:
PURPOSE
To effectively manage the front office in order to offer an exemplary service to patrons of Inyati guestrooms.
KEY RESPONSIBILITIES

Receive clients and ensure all is aligned to respect bookings

Create a clean, organized and positive office atmosphere at front office

Respond to queries from booked clients and escalated to respective sections within departments, ensure all is documented and follow-up from time to time for closure.

Attend to phone, take messages, and redirect calls to appropriate offices.

Maintain electronic and physical contracts, invoices and receipts archives or register
-
Organize and maintain files and records in public folders, dashboards; update when necessary

Manage viability of Pilot system and related IT matters such as licenses
-
Ensure all compliance documents are up to date

Create and maintain updated documents and spreadsheets as guided by supervisor

Oversee sorting and distribution of incoming mail,
-
Ensure office equipment, such as Pilot, photocopier, printers, etc. are in sound condition
-
Record meeting minutes and dictations, share and store in public folder archives
-
Ensure all contracts are up to date.

Manage procurements and receipts of materials and ensure all delivery and issues are updated into inventory control register

Track all daily booking, ensure clarity and seamless operation
QUALIFICATIONS
-
Minimum Grade Twelve (12)
-
Minimum of a diploma in business administration, hospitality, and IT
-
Hospitality related certification added advantage
EXPERIENCE
-
Minimum 2 years’ experience in hospitality industry in similar role an added advantage
-
Pilot or related POS added advantage
-
Experienced in Microsoft suite.
