Job Description
TopFloor is seeking a knowledgeable and motivated Human Resource Associate to join our dynamic team. In this role, you will be responsible for supporting the HR department in the outsourcing and administrative functions, ensuring that our hiring processes are efficient and compliant with established standards. You will act as a liaison between the organization and external partners, assisting in talent acquisition and HR administrative tasks.
Key Responsibilities:
Human Resource Outsourcing

Oversee the recruitment of staff for clients (sourcing, screening, shortlisting, scheduling of interviews etc.).

Ensure that staff pre-employment requirements are met (reference checks, medicals, police certification).

Conduct complete induction and onboarding process in line with company policy and procedures.

Assist in the preparation and maintenance of HR documentation, including contracts, job descriptions, and performance appraisal forms.

Conduct periodic site visits to manage client relationships and ensure adherence to contractual obligations.

Monitor working standards and health and safety of staff
Input, handling and filing of all client and staff data with accuracy and confidentiality

Query and grievance management outsourced staff.

Prepare necessary statutory documentation and send it to senior staff member to review and approval.

Assist the manager / senior associates to prepare and maintain reports related to specific HR projects.

Conduct other administrative duties for the department and broader team.

Monitor and report on HR outsourcing metrics and performance, providing insights to improve recruitment strategies.

Support in the appraisal of staff and ensure proper procedures are followed.

Provide general support to the HR team for various projects and initiatives as needed.
Human Resource Administration

Lead the preparation of payroll for outsourced clients.

Manage petty cash for emerging client and employee needs.

Evaluate all expense re-imbursements submitted by employees.

Lead in the preparation of monthly client invoices and submit them to senior members of the team for approval.

Prepare client service reports and conduct reconciliations on a monthly basis.

Support the department leaders in ensuring internal and external compliance of the work location.
Desired Skills, Qualifications and Experience:

Bachelor’s degree in Human Resources, Business Administration, or a related field.

Minimum of 2 years of experience in HR, with provable track record in a similar role with experience in outsourcing and administrative tasks as explained above;

Should have demonstrable skill in the use of MS Office skills (Word, Spreadsheets, PowerPoint);

Must have working knowledge of Sage Pastel software;

Should understand how to use the Google based work systems (Gmail, Google Calendar and Google Drive).

Must be a registered member of Zambia Institute of Human Resource Management (ZIHRM).

Demonstrable understanding of Labour Laws and labour laws.

Demonstrated experience with HR practices especially onboarding, disciplinary case management, recruitment and and processes.

Excellent organizational and time management skills with the ability to handle multiple tasks effectively.

Strong interpersonal and communication skills in both verbal and written forms.

Ability to maintain confidentiality and handle sensitive information with tact and discretion.

Ability to work collaboratively in a team environment and build effective working relationships.

Strong problem-solving skills and attention to detail.
