Job Description

Integrator Assistant

Special Hope Network exists to bring glory to God by creating a world where all kids are valued. We impact-communities by improving care for kids with intellectual disabilities. This starts by equipping families and caregivers to provide these children with a loving home, holistic health care, and exceptional education and therapies.

We are looking to fill the position of Integrator assistant with the following duties and responsibilities.

Organized Records

–       Oversee digitization of all receipts and backup records for the whole SHN, checking monthly that they are in order.

–       Manage all SHN inventory storage.

–       Keep SHN Dropbox organized efficiently so that any documents can be located (by anyone) within 10 minutes.

Processes

–       Keep all SHN processes up to date; monitoring, updating, and ensuring still accessibility and applicability to include spot checking Incentives, Peanut butter, and HEPS.

Donor Relations

Create partnerships with other NGOs: finding and making connections; being the central contact person and keeping records up-to-date for all connections.

–       Create relationships with all donors making sure they are thanked, invited, and cared for.

–       Pickup donations, as requested.

–       Coordinate and oversee food donations.

–       Plan networking events.

Software Management

–       Manage SHN Microsoft account and keep all devices updated.

–       Create new SHN emails and Dropbox accounts, as needed.

–       Train new staff on how to use Dropbox and how to scan clearly, and label according to SHN’s labeling protocol.

–       Manage Google files, Dropbox, and Microsoft files

Logistics

–       Respond to all admin emails by funneling the emails to the correct staff person.

–       Handle administrative requests from your manager, and work cooperatively with various teams (finance, education, HR, executive team, etc.).

–       Provide administrative support for all efforts to create disability-friendly communities

–       Working with Community Outreach other staff to promote inclusiveness in compounds, including any special events

–       Prepare agenda and financial record for each Zambian Board meeting (held 4 times per year); approval from manager at least 1 week in advance.

–       Report back to the supervisor when tasks are completed, preferably without being asked.

–       Support the Director of Programs/ Director of Operations/CCC Head Managers as needed.

–       Tasks as requested include all special projects.

–       Oversight of building improvements/ maintenance?

–       Manage all visitors/volunteers (airport pick up and drop off, SIM, data, internet setup, residence set up, transport logistics coordination, and any other logistics).

Job Requirements

Bachelor’s Degree in Secretarial Management
