Job Purpose
The Junior Administrative Assistant will work under the direction of the Administrative Assistant and Office Manager. The Junior Administrative Assistant will serve as the eyes and ears of the office, providing information, answering questions, and responding to request at the Front desk.
Summary of Key Responsibilities:

Provide front-desk coverage by managing a busy, multiline phone system,
greeting guests as they enter the office, managing incoming/outgoing
mail and shipments, and maintaining an organized, clean office
environment

Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance.

Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications, and office layout
-
Provide administrative support to the Admin Assistant and Office Manager, including email correspondence and generation and distribution of memos, letters, spreadsheets, forms, and faxes
-
Plan, organize, and schedule company meetings in the office, off-site, and via video-conference
-
Assist with coordinating domestic and international travel arrangements for employees
-
Work with the Office Manager in maintaining filing system, contact database, employee list, and inventory
-
Order and oversee office supplies and food deliveries for group meetings
-
Any other duties as assigned by the Office Manager.

Primary Areas of Accountability:
Qualifications and Experience
-
Advanced Certificate or Diploma in Public/Business Administration, Records Management, Front Office Management or related

Must have proven
administrative experience of 1-2 years in a busy environment/office
-
Previous success in
front office management
-
Must have experience managing manual and electronic filling
-
Experience developing internal processes and filing systems will be a plus
-
Must be willing to work weekends at times
-
Comfortable handling confidential and sensitive information
-
Must be willing to work with tight deadlines
-
Must well vested with Microsoft Office (i.e. word, excel and PowerPoint)
