Job Title: Management Accountant

Job Summary

Reporting to the Finance Manager, the management accountant will be responsible for maintaining accurate financial records, preparing reports, and ensuring compliance with accounting standards and school financial policies. This role performs day-to-day accounting functions while supporting budgeting, financial analysis, and audit processes to maintain the school’s financial health.

Key Responsibilities

  1. Financial Recording & Reporting

    1. Maintain complete and accurate accounting records using the school’s financial systems

    2. Prepare monthly financial statements (income statement, balance sheet, cash flow)

    3. Process journal entries and perform monthly account reconciliations

    4. Assist in preparing annual financial statements for audit

    5. Prepare bank reconciliations for all bank accounts

  1. Fee Management & Revenue Tracking

    1. Oversee billing processes and fee collection systems

    2. Reconcile tuition revenue with client records

    3. Monitor accounts receivable and follow up on overdue payments

    4. Prepare regular fee collection reports for management

  1. Payroll & Benefits Administration

    1. Process monthly payroll including salaries, allowances and deductions

    2. Ensure accurate calculation and remittance of statutory deductions (PAYE, NAPSA, NHIMA e.t.c)

    3. Maintain payroll records and respond to staff payroll inquiries

    4. Administer staff benefits and pension contributions

  1. Budgeting & Expenditure Control

    1. Assist in preparing annual budgets and periodic forecasts

    2. Monitor expenditure against budgets and report variances

    3. Verify and process supplier payments and expense claims

    4. Maintain fixed asset register and depreciation schedules

  1. Compliance & Audit Support

    1. Ensure compliance with tax regulations and filing requirements

    2. Maintain proper documentation for all financial transactions

    3. Prepare audit schedules and support external audit processes

    4. Implement internal financial controls and procedures

  1. Systems & Process Improvement

    1. Identify opportunities to streamline accounting processes

    2. Train other staff on financial procedures as needed

    3. Participate in financial system upgrades/implementations

  1. Qualifications & Experience

    1. Bachelor’s degree in Accounting, Finance or CIMA/ACCA/ZICA

    2. Minimum 5 years accounting experience

    3. Proficiency in accounting software and Advanced MS Excel

    4. Knowledge of Zambian tax laws

    5. Experience with payroll processing
