The University of Ndola is a Proposed University established to operate in the City of Ndola right in the Central Business District along Buteko Avenue Opposite Savoy Hotel. The Ndola University (Proposed) is a yet to be registered Higher Learning Institution with the Higher Education Authority (HEA) as a Private University College mandated to train students in various Diplomas and Degree programmes. As it rolls out its presence on the Copperbelt and beyond, The Ndola University (TUN) (Proposed) has embarked on recruitment of critical staff of high caliber to fill vacant positions. MANAGEMENT SECRETARY 1 Position
JOB PURPOSE
To provide efficient and responsive secretarial and administrative support to administrators in the office environment with strict adherence to procedures and policies of the university.
DUTIES AND RESPONSIBILITIES:

Drafting memoranda, letters and any other documentation
-
Proficiently managing the diary for management by ensuring that appointments and meetings are well scheduled and able to maintain high level of confidentiality

Meeting preparations by ensuring that notices and documentation for the meetings are circulated in good time
-
Ensuring that correspondence and other documentation are recorded and appropriately filed after action has been taken
-
Checking and responding to emails and refer to respective management team on communication that requires special and urgent attention.

Maintaining petty cash float for administrative functions of principal officers
-
Ability to maintain effective working relationships with officials, employees, students and associates, and to effectively convey information.
Qualification and Experience
The University seeks an individual with;

Grade 12 school certificate with five(5) credits including English and Mathematics. Minimum of a certificate in secretarial

Must have attained a shorthand speed of 100 words per minutes
-
Typing speed of 55’65 words per minute or better from Pitman or Examination Council of Zambia.

A diploma in public Administration or Business Administration or any other relevant qualification is an added advantage.

Minimum of Three (3) years working experience in a similar or related position preferably in an academic institution
