Job Description

1.0 MANAGEMENT ACCOUNTANT – OVERALL ROLE PROFILE

The Management Accountant is responsible for preparing financial reports, budgets, cost reports, and financial forecasts. The role supports strategic planning and decision-making by providing financial insights, performance analysis, and cost control measures to enhance the organization’s profitability and efficiency. The job reports to Manager-Finance. Age limit 45 and below.

A. MAIN DUTIES/ACCOUNTABILITIES

1. Ensures maintenance of up to date records and registers of fixed assets and that assets are properly accounted for in order to compute the net book value
2. Prepares and compiles quarterly management reports-Financial part ie, profit and loss account and balance sheet, summary of fixed assets schedule and a three-month cash forecast together with perspective notes to the accounts, and also incorporates Technical report from Tech. Dept, and administrative report from Human Resources for Management decision making
3. Maintains proper accounting for stocks and supervises perpetual inventory and up to date reconciliations between stock ledger, stores ledger and physical stock
4. Co-ordinates an efficient accounting of goods in Transit Capital work in progress and fixed assets to ascertain the cost of stock and assets
5. Prepares and compiles capital expenditure report quarterly by maintaining an up to date record of projects expenditure in liaison with the Technical Department
6. Costs goods and services of third parties in order that beneficiaries pay for the goods and services
7. Institutes reconciliation’s and analyses of various accounts to ascertain an accurate accounting expenditure
8. Compiles and submits specially prepared reports, returns and statements to Total Central statistics and third parties
9. Computes company tax monthly and prepares and submits company tax return to ZRA after the financial year end as per statutory requirement

10. Maintain product sales specimen signatures from oil marketing companies and supplies specimen for Indeni authorized officials to OMCs as a control
11. Receives OMC’s orders from which STAS are raised which are used to generate product invoices. Raises also interest invoice calculated by Financial Accountant from overdue invoices Faxes and mails both the STA’s and product invoices to OMC’s as a means of asking for payment from OMC’s
12. Compare and ascertain disparities of the following
a. Order received to order processed
b. STA raised to STA invoiced
c Invoices raised to products uplifted
13. Performs other accounting duties as assigned by the superior

B. MINIMUM REQUIREMENTS

1. Bachelor’s degree in Accounting, Finance, or related field. 2. Professional qualification such as ACCA, CIMA
3. MBA is highly recommended.
4. At least 3-5 years of relevant experience in management. accounting or financial analysis.
5. Proficient in Microsoft Excel and accounting software
6. Strong analytical and problem-solving skills
7. Excellent communication and interpersonal abilities.

2.0 SHRO-ADMINISTRATION AND PAYROLL – OVERALL ROLE PROFILE

The SHRO-Administration and Payroll is responsible for overseeing HR administrative operations and ensuring timely, accurate processing of payroll. The role supports organizational efficiency by maintaining compliant employee records, coordinating benefits administration, and ensuring adherence to labor laws and internal policies related to compensation, leave, and statutory deductions. Liaise with Clinic staff on the daily operations of the Clinic. The job reports to Human Resource Manager. Age limit 25 to 40.

A MAIN DUTIES/ACCOUNTABILITIES

1. Administer the Performance Appraisal Scheme in respect of employees below Head of Department level by maintaining records, succession charts, recommendations and other issues pertaining to the appraisal
2. Administer salaries, increments, annual/local leave, leave commutations, etc. maintain daily attendance, monitor overtime, enforce deductions of salaries for unofficial absences from duty. Manage end-to-end payroll processing and ensure accurate computation of salaries and benefits.
3. Analyses monthly labour utilization through reports.
4. Initiate and ensure that payments are made to employees eg. NAPSA, Pension for Retirees, contribution refunds and Group Life Assurance for deceased estates. Enforce discipline among subordinate staff in accordance with the Company’s Disciplinary Code
5. Maintain Job Evaluation Systems to ensure fair and suitable remuneration structures for all categories of employees. Attend to all queries arising from same.
6. Ensure statutory payments to NAPSA, Workers Compensation, and Pensions & Insurance Authority through liaison with Finance Department.
7. Maintain employee personal files and ensures that they are updated as circumstances change e.g. mantal status, salaries, job promotions etc.

8. Ensure HR administrative procedures comply with labor laws and internal policies. Prepare payroll reports, headcount reports, and other HR-related metrics for management
9. Plan, monitor, evaluate the day to day activities of the clinic to ensure its smooth running in providing health services to employees. Matters of medical nature affecting employees for Managements’ decisions

B. MINIMUM REQUIREMENTS

1. Bachelor’s Degree in Human Resources Management, Business Administration, or related field.
2. Master’s Degree in any related field is recommended.
3. Professional HR certification (e.g., ZIHRM, SHRM, CIPD) is an added advantage.
4. A minimum of 5-10 years of relevant experience, including at least Three-year period of leadership.
5. Potentially working with HRIS integrations
6. Sound knowledge of Zambian labor laws, social security, and taxation regulations.

3.0 CHIEF CHEMIST – OVERALL ROLE PROFILE

The Chief Chemist is responsible for leading and supervising all laboratory operations to ensure the quality and compliance of petroleum products and other chemical materials in line with national and international standards. The role involves overseeing quality control, product testing, regulatory compliance, method development, and continuous improvement in laboratory processes. The job reports to Manager-Laboratory. Age limit 25 to 40

A. MAIN DUTIES/ACCOUNTABILITIES

1. Understand, encourage and carry out the principles of integrated safety management, comply with Laboratory safety policies and procedures; complete all safety training as required, and take personal responsibility for safety.

3. Coordinate and control performance of analyses and other laboratory determinations on petroleum products, lubricants and their raw materials, water and chemicals to ensure efficiency and effectiveness of laboratory evaluations.
4. Ensure that all laboratory equipment and instruments such as Cooperative Federal Research Engines (CFR Engines), Distillation Apparatus, etc. are calibrated, standardized and meet required operational standards for reliability of analysis/test results.
5. Keeps informed to relevant technical publications on new and improved methods of analyses and consequently advise their superiors on the adoption of these methods to improve the quality of his/her work
6. Provide technical assistance and advice to Management on the characteristics of feedstock due for supply to ensure that Plant and product quality demand requirements are complied with.
7. Advises Management on optimal process parameters and products deviations from set quality specifications, products blending proportions in order to achieve desired quality of various products/services
8. Advise Management on the implications of actual process conditions on process equipment and materials so as to achieve equipment protection and optimum utilization of process chemicals 9. Advises Oil Marketing Companies and other organizations on the quality of submitted samples of petroleum products and corrective measures necessary.
10, Ensures, in liaison with the SHE (Safety, Health and Loss Control) office, necessary tests are performed to determine pollutant levels in Flue Gases and Effluent Water in order to comply with Regulatory limits on air and water pollution.

11. Ensure conformance to environmental solid waste disposal procedures in disposing of Solid Wastes/expired chemicals and monitor underground water contamination as a result of such disposals to comply with pollution statutory laws.
12. Carry out duties in accordance with the requirements of ISO 17025 take an active role in establishing, implementing, and maintaining chemical laboratory quality management system. Shall not separate quality from daily business
13. Prepares, justifies, and/or administers the budget for program areas, plans, administers, and monitors expenditures to ensure cost-effective support of programs and policies
14. Organizes work, sets priorities, and determines resource requirements, determines short-or-long-term goals and strategies to achieve them, coordinates with others to accomplish goals: monitors progress and evaluates outcomes
15. Plan work and carry out tasks without detailed instructions; makes constructive suggestions; prepares for problems or opportunities in advance, undertakes additional responsibilities, responds to situations as they arise with minimal supervision; creates novel solutions to problems, evaluates new technology as a potential to existing problems.

B. CHIEF CHEMIST-MINIMUM REQUIREMENTS

1. Bachelor’s Degree in Chemistry, Industrial Chemistry or Chemical Engineering
2. Master’s degree is an advantage
3. Minimum of 5-8 years’ relevant experience in a petroleum, petrochemical, or industrial laboratory.
4. In-depth knowledge of fuel testing (e.g., diesel, petrol, lubricants LPG) and applicable analytical methods.
5. Experience with ISO/IEC 17025 standards and laboratory accreditation processes,
6. Familiarity with lab instruments such as GC, HPLC, XRF, FTIR, viscometers, flash point testers, etc.

4.0 PUBLIC RELATIONS OFFICER – OVERALL ROLE PROFILE

The Public Relations Officer will be responsible for coordinating the organizational brand, stakeholder engagement, corporate communications Government relations and corporate social investments. The role will ensure effective alignment between internal business operations and external stakeholders, while promoting and protecting the company’s interests, brand reputation and its social license. The job reports to Manager – Business Development and Corporate Affairs. Age limit 40 and below.

A. MAIN DUTIES/ACCOUNTABILITIES

1. To manage the corporate and business information of the company on the website and all social media platforms pertaining to the company brand, overall vision, mission and objectives 2. To research trends and study information requests in order to identify external internal information needs and stakeholder management
3. Develop and disseminate through news releases, newsletters, and various media platforms. To prepare the Company press releases, speeches and adverts. To also fortify the reputational brand and the company’s market footprint.
4. To recommend media strategies to management, plan response, provide information and to arrange for interviews and tours in order to respond to media inquiries from various stakeholders Furthermore, to arrange media contacts and resolve concerns raised, in order to maintain rapport with various media representatives
5. To represent the company at public, social and business events in order to provide essential information and insights about the company’s business operations. To also gather information and coordinate the company’s exhibitions and events
6. To develop and implement sustainable Corporate Social Investment in the surrounding communities. To also liaise with the communities and other stakeholders on Corporate Social Responsibility and the impacts of the company’s operations

7. To coordinate and liaise with various government institutions and stakeholders at local and national level. To also arrange for work permits and visas for Company-seconded staff and contractors
8 To coordinate business development activities and to also assist in the preparation of strategic plans, business plans and annual budgets.

B. MINIMUM REQUIREMENTS

1. Bachelor’s Degree in Public Relations, Communications, Law. Political Science, International Relations, or a related field.
2. Master’s Degree in Business Administration. Corporate Communications, or Public Policy (preferred).
3. A minimum of 5-10 years of relevant experience, including at least 5 years in a leadership role in corporate affairs, communications, or public policy.
4 Proven experience managing media, government relations, and CSR programs
5. Strong knowledge of industry regulations and government processes.
