Job Summary:
We are seeking a dedicated Office Administrator / Accounts Assistant to provide both administrative and financial support. The ideal candidate should have over two years of experience in office administration and basic financial management, with a proven ability in record-keeping, invoicing, reconciliations, and general office coordination. This role is ideal for a self-motivated professional with strong organisational skills and a proactive attitude.
Key Responsibilities:

Manage day-to-day office operations including procurement, filing, correspondence, and logistics.

Maintain accurate and up-to-date financial records, including petty cash and bank reconciliations.

Prepare and process invoices, receipts, and payments.
-
Assist in budgeting, expenditure tracking, and financial reporting.

Support monthly payroll preparation and statutory returns (NAPSA, ZRA, NHIMA).

Coordinate meetings, travel arrangements, and procurement processes.

Provide administrative support to project staff and senior management.

Assist with audits by ensuring proper documentation is available and organised.

Ensure office supplies and equipment are well managed and maintained.

Uphold internal compliance standards and assist in developing administrative procedures.
Essential Qualifications:

Diploma or degree in Accounting, Finance, Business Administration, or a related field.

Recognised accounting certifications (e.g., ACCA, CIMA, ZICA) are an added advantage.

Proficiency in bookkeeping and financial record-keeping.

Working knowledge of accounting software (QuickBooks, Xero, or Sage).

Strong organisational skills and ability to manage multiple priorities.

Excellent written and verbal communication skills.
Desirable Skills and Experience:

At least two years of experience in an administrative or accounting role.

Strong analytical skills and the ability to interpret financial data.

High level of accuracy and attention to detail.

Proficiency in Microsoft Office, especially Excel, Word, and Outlook.
