Job Summary:
Mulungushi Innovations is looking for a proactive and organized Office Assistant to support our administrative team. In this role, you will handle a variety of tasks that ensure the smooth operation of our office. Your attention to detail and ability to multitask will be essential in contributing to our overall efficiency and productivity.
Key Responsibilities:

Administrative Support:
Provide general administrative support to staff, including managing schedules, organizing meetings, and preparing documents and reports. Assist with the coordination of office events and activities.

Communication:
Serve as the first point of contact for clients and visitors, greeting them warmly and directing inquiries appropriately. Handle incoming calls and emails professionally and efficiently.

Record Keeping:
Maintain accurate records of office activities, including meeting minutes, correspondence, and filing systems. Ensure that documents are organized and easily accessible.

Supplies Management:
Monitor office supplies and inventory levels, placing orders as needed to ensure that the office is fully stocked. Coordinate with vendors and service providers for office needs.

Data Entry:
Assist with data entry tasks and maintain databases to ensure that information is up to date and accurate. Support the preparation of reports and presentations as required.

Team Collaboration:
Work closely with team members to facilitate communication and support various projects. Assist with special projects and tasks as assigned by management.

Office Maintenance:
Help maintain a clean and organized office environment. Ensure that common areas are tidy and that equipment is functioning properly.
Qualifications:

High school diploma or equivalent; an associate’s degree in office administration or a related field is preferred.

2+ years of experience in an administrative or office support role.

Strong organizational skills and attention to detail.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general office equipment.
