Location: Makeni Bonaventure, Lusaka, Zambia (Opposite Makeni Heights, Near Oriental Quarries)
Reports to: Operations Manager
Salary: K5,000

As we scale, we are seeking a versatile and hands-on Operations Officer to support day-to-day execution across all our business areas — logistics, microfinance, tenders, subcontracting, and retail operations.

Position Overview

This is a generalist role ideal for a resourceful and proactive individual who thrives in dynamic environments. The Operations Officer will support diverse aspects of the business including service coordination, client engagement, document control, tender submissions, subcontractor management, and retail oversight. You’ll be a critical link in ensuring our operations run smoothly while helping build the foundations of our upcoming microfinance institution.

Key Responsibilities

Transport & Logistics Coordination

Schedule and coordinate routine/emergency service bookings for company vehicles.
Track road fitness, insurance, taxes (ZRA, ETC), and compliance records.
Maintain up-to-date fleet logs and reports.
Respond to adhoc driver queries & Requests
Tender & Quotation Management

Review and respond to tenders received for goods and works supply.
Prepare and issue quotations to clients and institutional buyers.
Coordinate tender document submission and follow-up.
Retail Oversight

Supervise daily operations of the energy products store.
Monitor inventory levels, pricing, and customer interactions.
Support supplier orders and product display optimization.
Microfinance Institution (MFI) Setup Support

Assist with the operational groundwork of the upcoming microfinance unit.
Support licensing and compliance with regulators (e.g., BoZ).
Help design basic loan disbursement, repayment, and client onboarding processes.
Client Engagement & Business Development

Identify and follow up on business opportunities, especially in logistics and cold chain sectors.
Assist in onboarding new customers and maintaining key client relationships.
Provide support in crafting proposals and customer documents.
Subcontractor & Supplier Coordination

Source and manage relationships with third-party service providers.
Negotiate pricing, delivery terms, and SLAs for outsourced works.
Ensure proper documentation and compliance across engagements.
Administration & Document Control

Maintain both physical and digital records across all departments.
Draft and manage operational documents: contracts, service agreements, quotations.
Generate periodic reports on operational metrics and activities.
Other Duties

Undertake any additional tasks as required by the Operations Manager.
Qualifications & Experience

Diploma in Business Administration, Banking, Logistics, Marketing, or related field.
Minimum of 3 years in a similar operations-focused role.
Exposure to logistics, tendering, financial services, or retail is highly advantageous.
Comfortable managing multiple workstreams across departments.
Strong computer literacy (Excel, Word, Outlook) and document handling skills.
Has at least 1 year driving experience with a Valid driver’s license
