Job Purpose
The Personal Assistant (PA) to the CEO/MD will provide high-level administrative support, ensuring smooth day-to-day operations of the executive office. This role requires strong organizational skills, discretion, attention to detail, and the ability to handle multiple tasks in a fast-paced environment. The PA will be the key point of contact between the CEO/MD and internal/external stakeholders, managing schedules, communications, and administrative tasks efficiently.
Summary of Key Responsibilities:

Manage the CEO/MD’s calendar, including scheduling meetings, appointments, and travel arrangements.

Act as the primary point of contact for internal and external communication directed to the CEO/MD.

Prepare reports, presentations, meeting agendas, and other documents as required.

Take minutes during executive meetings and ensure timely follow-up on action points.

Coordinate logistics for meetings, conferences, and other events.
-
Maintain confidentiality of sensitive company and personal information.

Screen phone calls, emails, and other correspondence, prioritizing and responding as appropriate.

Liaise with other departments and external stakeholders on behalf of the CEO/MD.

Handle personal errands and tasks as may be delegated by the CEO/MD.

Maintain organized filing systems, both digital and physical.

Qualifications and Experience

Full Grade Twelve 12 Certificate
-
Diploma in Business Administration, Management Studies, Public Administration, or related field.

Must have a minimum of
1-2+ years’ experience in a similar role supporting Senior Executives.

High level of professionalism, integrity, and confidentiality.
-
Ability to work under pressure and manage shifting priorities.
-
Must have experience in handling sensitive information.
-
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
