RECEPTIONIST VACANCY
Role Purpose:
Proflight Zambia is seeking to recruit a qualified, professional, friendly and organized Receptionist to be the first point of contact of the organization. The ideal candidate will manage day to day front desk activities, meet and greet clients, handling incoming calls, mails and other administrative roles for smooth running of the office. The position will be based at the Proflight head office in Lusaka.
RESPONSIBILITY AND DUTIES:
Front Desk Management
-
Greet and welcome clients warmly, in a courteous and professional manner as soon as they arrive at the office.

Answer, screen and forward incoming phone calls promptly and direct them to appropriate staff or department.

Ensure reception area is tidy and presentable, with all necessary stationery and material.

Provide basic and accurate information in-person and via phone/email.

Receive, sort and distribute daily mail/deliveries and record incoming and out going mail/deliveries.

Maintain office security by following safety procedures and controlling access via the reception desk.

Order front office supplies and manage stock inventory.

Assist with other clerical tasks such as data entry, filing, photocopying, transcribing and faxing and maintaining digital and physical records.
Office Operations and Support

Support the administrative staff with data entry and inventory management.

Assist with monthly inventory stork taking.

Ensure that reception supplies and office supplies are adequately stocked at required levels.

Excellent verbal and written communication to interact with clients and colleagues.

Capacity to handle multiple tasks and prioritize task.

Familiarity with office software and related applications.
-
Politeness, patience, and problem-solving skills.
-
Good analytical skills and attention to details.

Strong organizational skills.
MINIMUM QUALIFICATION:
-
Full grade twelve certificate or equivalent.
-
Diploma in Office Management (a degree would be an added advantage).
-
Additional Certification in business administration or secretarial and front office operations will be added advantage.

Two years experience as a receptionist, front desk representative or similar role.

Proficient in Microsoft suite (Word, Excel, Outlook).
