Job Purpose
The Retail Filling Station Manager will oversee the day-to-day operations of a Filling station. This includes managing staff, monitoring customer service and sales, controlling inventory and stock levels, ensuring health and safety regulations are adhered to, and ensuring the efficient running of the business. The manager will also responsible for ensuring that customer needs are met and that customer satisfaction is maintained.
Summary of Key Duties:

Overseeing the day-to-day operations of a gas station, including supervising staff, approving fuel and stock orders, and ensuring the facility meets health and safety regulations.

Ensure the smooth running of the facility, customer satisfaction and profitability.

Supervise and train fuel station staff, providing guidance and support to achieve operational excellence.

Effectively monitor stock of all products – white products and lubricants – to ascertain and document the stock position on a daily basis.

Initiates prompt action to replenish stock where necessary. Ensures that the station does not hold less than 40 percent of the monthly sales target on any product at any point in time.

Ensure there is an adequate petty cash float to allow purchase of fuel for the running of the generator.

Inventory Management

Ensuring the premises and equipment are maintained and compliant with health and safety regulations

Conduct regular inspections and maintenance of fuel station equipment and facilities.

Collaborate with suppliers, contractors, and government authorities as needed.

Monitor market trends and competitor activities to identify opportunities for improvement and growth

Ensures that trucks that bring products are parked properly before product discharge. Effectively discharge products with all safety measures in place and according to the approved discharge procedure. Ensures that shortages are recorded on the return waybill and signed by the truck driver.

Ensure that stock takes are done for both Lubricants and Fuels at each shift change, and any loss or gain explained.

Carries out effective implementation of forecourt sales strategies, promotions and programmes as initiated by company management.

Monitoring fuel levels and ordering new supplies

Ensure that the site does not run dry i.e. putting into consideration the re-order quantity and lead time for delivery

Meet monthly sales targets as communicated by Retail Sales Manager

Monitor customer buying trends and relate these to sales volume performance versus budget.

Maintain prepaid customer accounts ensuring they are not overdrawn.

Identifying opportunities for new prepaid account holders

Primary Areas of Accountability:
Qualification and Experience
-
Degree or Diploma qualification in Business, Finance or Engineering field is preferred.

A minimum of 3-5 years of experience in the fuel retail industry. preferably in the fuel retail industry.

Must have proven experience of managing a Fuel Station in a busy area/location
-
Proven previous experience in finance, sales or business development.

Ability to build and maintain ethical and trusting relationships

Proven Retail Knowledge

Strong leadership and team management skills.

Excellent customer service and communication abilities.

Knowledge of safety regulations and best practices in the fuel industry.

Familiarity with inventory management systems and financial reporting.

Membership with a relevant professional body will be a plus.
